How to cope with Difficult Customers at Work
For those who are in customer service, you know just how difficult that it can be for you to cope with some of them. You will want to do everything that you can to make the situation better. You will find that there are going to be customers that make it well known that they are unhappy. They will yell at you, they will curse at you, and they will put the pressure on you to make them happy. Some customers you will never please, however, you will need to learn how to deal with these people. You will want to make sure that you keep your cool and give the customer respect at all times.
You will find that not only will they push your buttons, but you will want to give into the temptations and yell at them. You don't want to stoop to their level. What you need to do is learn how to keep yourself in control all the time. When you have a customer that is angry, you need to ask them some questions and listen to them. Let them know that you hear them and that you understand their concern and anger. By listening to them and allowing them to understand that you are going to do something, you will find that they will calm down and you'll be able to calmly deal with them. You will want to make sure that you give them the respect that you would want. Even before you start to explain anything to them, you will want to make sure that you stop and think how you would want someone to handle the situation if the shoe was on the other foot.
There is a lot that you can do to make the customer calm down, but sometimes it just doesn't work. They just can't be happy with anything that you offer them. If you can't deal with them, you should then pass them on to someone with authority. Call the manager and allow them to take care of it, however, don't make it seem like you are just going to push them off to someone else. You want to explain to them that you are going to get someone who can properly deal with the situation so everyone can leave happily.
You will also find that there are going to be times when you are the manger and you have to calm the person down. Your authority will often give you the respect that you need to handle the situation. Once you are able to get them to a civilized level of manner than you can carefully deal with the person. Most of the time, the place that you work with will give you some teachings on how to deal with a hostile customer and what you are allowed to give them as a severance package. Often, there is nothing that you can do, but apologize. You will find that your words will do a lot for you. Sometimes people only want to hear that the company is sorry. With the words of kindness you will be able to win them back as a good and faithful customer. You will be able to save your company from losing a customer and they will tell all their friends of how you treated them. Make sure that you leave a positive note and that the customer leaves in a positive light.
Make sure that you treat each and every customer like you would want to be treated, make sure that you do everything that you can to possibly reduce the negative consequences of your actions. This is a simple task if you can learn to be positive.
